Privacy statement Heartful Moments Mindfulness

This statement applies to all products and services provided by Heartful Moments.

Heartful Moments is a trade name of Pijnse van der Aa B.V. located at Roodenburgerstraat 15, 2313 HH in Leiden. Heartful Moments is represented by Irene Pijnse van der Aa. She is responsible for the processing of personal data as shown in this privacy statement.

You have the right to the careful processing of your (personal) data. We take the protection of personal data seriously. You can rely on us to treat your data with respect and care. We act in accordance with professional guidelines and professional codes, and in accordance with the GDPR legislation that came into effect on 25 May 2018.

We believe that you should know what information we collect, what we use this information for, and that you can access it.

When do we record your data?

When you request a quote, when you buy a product or service (for example, register for a training), and when you have an intake interview.


What data do we pocess?

Only data that you share with us and that we need for the service to you, and to a limited extent for promotional and marketing purposes, will be processed. When registering for training courses, we store a number of data so that we know who has registered and for which training. This concerns name, mail address, name of the workout, data the training is given, any comments.

We regularly delete this data so that it is not stored unnecessarily long. During the retention period, the data is only accessible to Heartful Moments.


We can use your data for:

Accepting your participation in / indicating for a training or workshop, giving the training and tailoring the guidance to your needs and analyzes to improve the service. The Heartful Moments website is hosted in a secure data center in the Netherlands by an ISO certified company.

When you sign up for a training that includes an intake, an analogous record is made of your complaints and living conditions, and the purpose of participation. This data are important for the correct classification in the correct group (indication) and for the coordination of the coaching by the trainer. During the intake interview, you explicitly give permission for the data on the intake form to be managed up to 8 weeks after the training for which you have registered.

Depending on the type of invoice (employer or private person), we can record your personal data such as your name, address, employer, product and service preferences.

We can also use your data for: checking payments, making a quotation, making an invoice. We can use your data for sending newsletters (if you give your explicit consent), making specific offers and sending marketing messages. For this we can use email, newsletter or Facebook (if you have explicitly registered for this).


Rules for the processing of personal data 

When processing personal data, Heartful Moments is bound by the applicable laws and regulations and keeps up with developments. In that context, Heartful Moments reserves the right to make changes to this privacy statement in order to keep the text in line with the latest state of affairs, as stated at the bottom of this privacy statement.
Collaboration with other parties

 Heartful Moments does not share your information with third parties for the purposes of those third parties. Heartful Moments does not sell your information to third parties and does not provide it for the purposes of third parties. Heartful Moments only shares data if this is necessary for the execution of our agreement with you or to comply with a legal obligation.

 We only work with other parties to promote the service: such as a bank for processing payments, accountant and a list manager for (securely) storing personal data and sending the newsletter. These third parties only process data insofar as this is necessary for the provision of services and in accordance with current legislation. Processor agreements have been / will be concluded with these parties to ensure the same level of security and confidentiality of your data.



Right to inspect and correct the data


Heartful Moments does not share your information with third parties for the purposes of those third parties. Heartful Moments does not sell your information to third parties and does not provide it for the purposes of third parties. Heartful Moments only shares data if this is necessary for the execution of our agreement with you or to comply with a legal obligation. Mapping website visit (public part)

 Heartful Moments uses Google Analytics to track statistics in order to improve the website. No personal data is stored or forwarded to Google. Heartful Moments only uses technical and functional cookies. A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit our websites. The cookies we use are necessary for the optimization of your ease of use. You can opt out of cookies by setting your internet browser so that it no longer stores cookies. In addition, you can also delete all information previously saved via the settings of your browser.

 You are entitled to access. If you receive the newsletter, you can unsubscribe at any time by telephone or e-mail. You can also request access to us in writing, stating your name, telephone number and address. You must enclose a copy of your passport or driver's license so that we can verify your identity. You can read from the national government how you can do this safely, see a safe copy of my ID.

 You are entitled to correction. If there are inaccuracies, incompleteness or illegalities in your data, you can correct them in writing: please send a letter as described above.

 Right to portability. You can request your data to be transferred or have it transferred to another party, for example another trainer or coach.


Retention period of your data


 Heartful Moments does not store your personal data longer than legally permitted and no longer than is necessary to do what we have stored the personal data for.


Security

 Heartful Moments values ​​and ensures security and protection of your personal data. Heartful Moments has taken appropriate technical and organizational measures to secure and protect your personal data against loss, alteration, misuse or any (other) form of unlawful processing.

 Only Irene Pijnse van der Aa has personal data and / or processed these. It is obliged to maintain the confidentiality of that information, unless otherwise provided by law or regulation. In the event Heartful Moments uses the services of third parties, Heartful Moments will make agreements regarding the necessary security measures in the context of the protection of personal data.
